Dashboard
When accessing the Dashboard tap you will be shown a dashboard with relevant information to your organisation. It will be similar to the following:
Form here you can see information about:
- Active kits
- Total examinations
- Number of reviews
- Locations
The aim of this dashboard is to summarise the usage of the system in the last 30 days.
Reports
In the reports section of the panel you will be able to see some simple reports for the usage of the system and itemised reports about the examinations performed.
Messages (Tympa Notifications)
It is possible to send notifications to users of the Tympa Panel. You can do this from the Messages icon.
To create a notification, click on the plus (+) sign, select one or more recipients from the menu on the left-hand side, enter a message subject and the main text. Finally click on save.
The notifications are loaded in the app whenever it starts. The dates in the Tympa Panel against a notification dictate when they should be displayed in the apps. These notifications will show in the Home page, under “Notifications”:
Dismissing the notifications in the app (by clicking the “x”) makes them disappear permanently. Please note that a record of the notification is kept in the Tympa Panel.
Configuration
A Team Manager or Admin can provide configuration for:
- Body Parts - available in each examination
- Examination Types
- Appointment Types
- Consent Forms
- History Forms
Your tenant should already have the required information set up (i.e. body parts, examinations, appointments, consent and history forms). There is no need to create or modify these defaults in the vast majority of cases.
However, should you need to create new elements or modify existing ones, it is important to understand the relationship between these elements so that new entries can be created, and existing ones modified. Your organisation may have several tenants, each tenant has users. User management is part of the Admin role and will be covered later. Each tenant has some defined locations which correspond to geographical places where the devices are located. Each Tympa System can be assigned one location.
The users in the tenant can organise different types of appointments. Each appointment consists of a series of examinations with steps. Similarly, each appointment may have its own specific Consent Form. Each step of an examination can include the capture of images and/or videos. In order for TympaHealth to capture the correct information about the appointment each examination is done for a body part (right, left or both ears).
If you ever require creating new Appointment types you need to ensure the required information is created first in this recommended order:
- Body parts are enabled
- Examination Types are created for each body part
- Consent form is created
- Create appointment
You can then create the new Appointment Type, where you will need to provide the correct Consent Form and Examination Names (to which you will need to attach an Examination Type) and the Steps that need to be completed for the Examination
Manual Configuration
In a typical configuration, when creating a tenant, the elements that make it possible to be used for different appointment types and examinations are automatically created by default. This means that you are ready to start using the tenant once users are created. In the rare case where you need to either modify or create new appointment types, you will need the following information. Otherwise, you can safely skip this Section. Here we cover the manually configuration of the following elements:
- Locations
- Body Parts - available in each examination
- Examination Types
- Appointment Types
- Consent Forms
- History Forms
Body Parts
This card will only need to be used by your System Administrator when setting up your tenant. It simply defines codes for the rest of the tenant to distinguish data labelled as:
- Left Ear
- Right Ear
- Both Ears
Typically a tenant already has these items configured. The three options above will be shown as buttons with a plus sign on them. To assign a body part to the tenant we would simply need to click on the button relevant button.
Examination Types
The examination types correspond to the individual examinations per body part that can be carried about as part of an appointment. You can add new examinations by clicking on the plus (+) button at the top of the page.
To create a new examination you need an examination name and assign a body part. The name can be anything you want, but we recommend it to be a combination of the appointment type and the body part the examination refers to. For the body part, click on the dropdown menu and select from the options. Please make sure that you provide a description and a unique examination type code. You can do the same for each body part.
These examinations will now be part of an appointment type which we will be creating later on. First, we need a consent form.
Consent Forms
Each appointment is able to have a tailor-made consent form relevant for the type of procedure that will be carried out. The consent form is currently able to take only yes-no questions that can be made required before enabling the rest of the appointment journey to be completed. To add a new consent form, click in the plus (+) button of the page.
You will be shown a new box where you need to enter the name of the consent form and a short text to describe the information that is requested. You can select whether the form takes a signature and finally you can add a checklist (yes-no questions) that will be shown as part of the consent form in the app.
Please note that the consent form contains also a fixed statement to cover GDPR compliance. This statement is not modifiable and must be presented in each form created.
Finally, make sure that your new consent form is selected in the Appointment Type.
Appointment Types
An appointment enables us to bundle together a number of examinations. In this area of the panel we are able to create the bundles and specify the steps that will be shown as part of the examination. In terms of the app, the appointment types are shown as part of the options when you create a new appointment. The examinations and steps are shown in the camera view when going through the appointment. You can create a new appointment type by clicking on the plus (+) button.
You will need to provide an appointment name. Keep it short and simple. Remember that this is the name of the appointment that will show in the app. You are also asked to provide a type code and a consent form name (which we created before). The latter will show as the header for the consent form in the app. You can also enter an estimated time for this appointment.
Now that you have the main part of the appointment, we need to add the examinations that will be part of it. You can add an examination by clicking on the plus (+). You will need to enter an examination name (this will be shown in the app) and select an examination type from the dropdown menu. Note that the examination types correspond to the examinations you created in one of the previous sections.
Each examination in the appointment has a number of steps shown in the app too. Provide a name and keep that short and simple as these are shown in the camera view in the app. You can also enforce how many images and videos are required in each step. You can create more steps by entering the step name in the area that reads “New Step (press enter to add)”.
In the front page of the appointment type section you will be able to see all the appointment types for that tenant and you get a summary of the number of examinations that comprise each appointment.
History Forms
Currently the History Forms are not able to be configured and are shown for completeness. The forms enable the apps to take the otology history and the questions are currently locked.
