The Appointments section (calendar icon in the navigation bar) contains information about the appointments and examinations that have been carried out by your organisation.
This Section can be accessed by Team Members, Team Managers and Admins.
Please note that your tenant may be using anonymised tokens and the names and information for the patient would be masked.
You can see information about examinations carried out in the period of time shown including the type of Appointment and Examination as well as the number or reviews, time and date created and by whom. Please note that the “Reviewed” column may not be present in your particular instance. This is a feature that can be enabled for your organisation. You can apply filters to find the appropriate appointment. Please make sure you clear any filters when performing a new search.
Clicking on any of the appointments shown, you will be able to access the media and information that was captured during the examination, including still images and videos for the left and right ears.
Still Images
The still images can be clicked to be made larger.
You can close the zoom by clicking on the “x” symbol at the top. The images can be annotated, and this is done by clicking on the pencil icon marked as "Notes" next to the thumbnail.
This will open up a new window where you are able to draw with your mouse a rectangle to highlight an area for annotation.

- Let go of the mouse button
- On the right-hand side you will see an area where you are able to enter your annotation.
- Click anywhere in the page to save the annotation
You can enter as many annotations as you require. Please note that the annotation rectangles are only visible from this page and not in the summary thumbnails.
Apart from the annotations you can add information about the image you are reviewing. In this case you may be able to classify the image as normal or abnormal. These tags enable TympaHealth to train and improve machine learning models that will be available in future releases.
When you go back to the examination summary, you will see that the annotated image shows the number of annotations created. You can also click the small triangle on the side of the Observation label to see the notes.
You can also use the toggles to decide if you would like to include an image or video in the summary PDF you can generate. Finally, if your tenant is enabled for Reviews, it is possible to request further review with the toggle (see the image shown above).
The Review option (if enabled for your organisation) lets users to check whether an appointment has been seen by a second expert and uses a traffic light system:
- Red – Not reviewed
- Amber – Query raised
- Green – Reviewed
In a system that has this featured enabled, by default any images taken will be marked as “Not reviewed” and show a red marker in the summary page (see image above). A review is considered to have taken place if the user enters at least one annotation or observation by using the pencil tool described above. At that moment, the appointment is marked as “Reviewed” and the marker will turn green. If the user marks an image as “Request further review” by toggling the button on, the appointment is marked as “Query raised” and the marker will turn amber.
Please note that it is possible to filter appointments by the status of the Review traffic light to make reviews easier to handle.
Videos
You can click on the video to open a player where you can see the footage captured.
You can also make annotations on the video. To do so, click on the “Notes” button next to the card for the video you would like to annotate.
Annotations are created in a similar way to those for still images. First you must start playing the video. When you find a frame where you want to make an annotation pause the video. You will then be able to draw with your mouse a rectangle to highlight an area for annotation.

PDF Creation
Once you have made annotations to images and videos as well as adding comments to the examination you are able to create a PDF with the information for that appointment.
You can include still images by switching on the toggle buttons to “Add to PDF”. Once you are ready, simply click on the “PDF” button on the top left-hand corner. This will automatically download a PDF to your local machine.
Videos are included as URLs (links). To be able to see the videos, click on the link included in the PDF. Make sure that your computer is connected to a network to access the video.
Please note that media can be large files and depending on their size the PDF may take some time to be created. The image size and number also have implications in the final size of the PDF generated.
